In addition to the Officers, the Executive Committee is comprised of Committee Chairs. Committee Chairs oversee portfolios that benefit the ongoing business of the ACPA. From time to time, the positions of Committee Chairs may be modified to better meet the needs of the ACPA. Any changes to the list of Committee Chairs, or their duties, are at the discretion of the Executive and are subject to an Executive vote. The duties of the Committee Chairs are outlined below:
This position is vital to the continued success of the ACPA. The Volunteer Coordinator recruits volunteers and maintains an up-to-date database of parents and guardians willing to contribute their time and talents to the ACPA and Appleby College. The Chair welcomes new volunteers, corresponds regularly with all volunteers, and coordinates volunteers for many events, such as Harvest Colours. All Executive members are responsible for updating the Volunteer Coordinator with new volunteer names.
College Shop Co-ordinator
The College Shop Co-ordinator supervises the facilities for the College Shop, College Shop online and Turnover Shop/Lost and Found, and works closely with the Co-Chairs of both services. The Co-ordinator also liaisons with the Volunteer Coordinator, school business office, school administration and maintenance staff. The Co-ordinator oversees all new initiatives, facility improvements, advertising and communication for the College Shop and Turnover Shop/Lost and Found. The College Shop and Turnover Shop/Lost and Found operate before school opens in September, weekdays throughout the school year and during special events on campus.
College Shop (Stationery/Giftware)
The College Shop Co-Chair works cooperatively with the College Shop Co-ordinator, the College Shop Clothing Co-Chair and the Turnover Shop/Lost and Found Chair. To facilitate all aspects of revenue accounting, the Co-Chair liaisons with the school business office and IT department. The Co-Chair is responsible for ordering, inventory control and pricing of all stationery, logo items and giftware. The Co-Chair trains volunteers to operate College Shop stationery and giftware.
College Shop (Clothing)
The College Shop Co-Chair works cooperatively with the College Shop Co-ordinator, the College Shop Stationery Co-Chair, and the Turnover/Lost and Found Chair. To facilitate all aspects of revenue accounting, the Co-Chair liaisons with the Appleby College business office and IT department. The Co Chair is responsible for ordering, inventory control, pricing and style decisions of all approved gym wear, logo wear and uniform items. The Co Chair trains volunteers to operate College Shop clothing.
College Shop online
The College Shop Online Co-Chair works cooperatively with the College Shop Co-ordinator and the other Co-Chairs of the College Shop. Maintains website, processes all online order for pick up or delivery. Helps other Co-chair with inventory control and maintenance.
Turnover Shop/Lost & Found
The Turnover Shop/Lost & Found Chair works cooperatively with the College Shop Co-ordinator and College Shop Co Chairs. The Chair is responsible for the organization of the Turnover Shop (which accepts and sells gently used school uniform items). This involves recording billings to student accounts, refunds owed to consigners and proceeds payable to the ACPA.
The Chair trains volunteers to work in the Turnover Shop, to process Lost and Found items and to communicate via e-mail with students to reunite lost items with their owners.
Turnover Shop/Lost and Found operate daily throughout the year in conjunction with the College Shop hours. The Chair is responsible for donating all unclaimed items at the end of the school year.
The Chair is the liaison with the supplier and school administration for ordering and returning textbooks used in the curriculum. The Chair is available to answer inquiries from faculty, parents, guardians, and students, regarding ordered school materials, as well as organizing timely communications through ATW. The Chair may organize a Book Fair in June for the sale of used books.
The Fundraising Coordinator provides leadership and support for all ACPA fundraising events. The Executive Committee approves various fundraisers on an annual basis. The Fundraising Coordinator, or another suitable ACPA member may chair these events. All funds raised are disbursed at the Annual General Meeting in consultation with Appleby College.
The Social Events Chair provides leadership and support for all social events of the ACPA. The Executive Committee approves various social events on an annual basis. The Chair provides scheduling and coordinates volunteers for events such as the Welcome Back Barbecue in September and the ACPA Annual General Meeting and Dinner in May.
Grade Parties/Employee Appreciation
Six Grade Parties are held annually in September. The Chair liaisons with the Principal, the administrative staff for electronic invites and RSVPs, and with the kitchen staff for food and drink. The Chair is responsible for arranging all details of the grade parties. The Chair, or a designate, is expected to be present at each party.
Employee Appreciation events are held annually in April. With the assistance of the Head Prefect and volunteer parents, the Chair coordinates various activities which honour all Appleby College staff for their role in providing an exceptional learning environment for the students.
The Chapel Guild decorates the chapel for special occasions such as the annual Christmas Carol Services and Graduation. The Chair contacts, schedules and organizes volunteers to accomplish the work of the Guild and is responsible for a productive liaison with the Chaplain and other members of the Chapel staff.
The Photography Chair oversees the photo gallery of the ACPA website. Maintains this site; keeps it current; updates all folders; works diligently with Appleby College’s Marketing Communications team; schedules volunteer photographers to be present at ACPA events to take photographs of the event. Compiles photos taken by all volunteers, labels and puts all pictures into folders.
