Code of Conduct
Appleby College Camps & Academies are committed to creating a safe, nurturing and inclusive learning environment. We aim to provide a positive climate where all Community Members - Participants and their parents, guardians and family members, our staff, volunteers, agents, and group leaders – feel safe, included and accepted - free from harassment, discrimination, and harm; supported by appropriate supervision and health protection; and upheld by a smoke/vape-free campus, cared-for facilities, and a community grounded in respect for all.
All Appleby College Camps & Academies Community Members are expected to demonstrate respect for the dignity and rights of others and to always behave in an inclusive and responsible manner.
Should there be an infringement on any aspect of this Code of Conduct, Camps & Academies Leadership reserves the right to take appropriate action which may vary from conversations at the time of the incident, temporary suspension or other measures, up to and including removal of a Community Member - without refund. In extreme situations, Community Members may be prohibited from applying to Appleby Camps & Academies programming in future.
To ensure these expectations are met for everyone, the following Code of Conduct applies to all Community Members:
Abuse: Physical or psychological abuse, including bullying, will not be tolerated.
Respect for property: Community Members must respect Appleby College property and the property of others. Any action that results in damage to property will not be tolerated. Offenders may face disciplinary action and will be required to pay for damages.
Smoke- and vape-free environment: The program is conducted in a smoke- and vape-free environment. Community Members are not permitted to smoke or vape at any time during the program, on or off campus, indoors or out.
Anti-Discrimination and Anti-Racism
Appleby College Camps & Academies is committed to maintaining an environment that is inclusive, accepting, and supportive of all individuals. Community Members are expected to uphold this commitment by contributing to a community grounded in dignity and mutual respect.
Community Members must not:
- Engage in any form of discrimination, exclusion, or harassment based on race, colour, gender identity or expression, language, religion or non-religion, sexual identity or orientation, degree of ability or disability, socio-economic background, or any other aspect of personal expression.
- Use any form of racialized or discriminatory language, whether through slurs, insults, insinuations, jokes, stereotypes, or coded remarks that attack or demean another person’s race, ethnicity, religion, culture, or background.
- Display, share, or circulate material online or in person that perpetuates racism, intolerance, or hate toward individuals or groups.
- Use gestures, actions, or behaviour that isolate, target, or degrade others.
No defamation: Defamation online or otherwise of other Community Members, or Appleby College Camps & Academies and its programs is prohibited.
Respectful conduct: Community Members must behave in a manner appropriate to the program. This includes refraining from abusive or profane language, avoiding disruptive conduct, and showing respect for the rights, dignity, and property of others.
Personal items and safety: For the safety and comfort of all Community Members, items such as pocketknives or any object that could be considered a weapon are not permitted at camp.
Health and community responsibility: Community Members are expected to support the well-being of the entire community by remaining diligent in monitoring for signs of illness. Community Members who are unwell or are experiencing symptoms of any kind must remain at home, and the appropriate office must be informed promptly. Behaviour that disregards the health or safety of others will not be tolerated. Return-to-program decisions will be made in consultation with Appleby College Health Centre staff to ensure a safe environment for all.
Tampering with safety equipment: Community Members must not tamper with fire equipment, including alarms, fire doors, and fire extinguishers. Any Participant responsible for this breach of conduct will also be liable for any costs associated with, or arising from, activated fire alarms.
Parents or legal guardians will be notified if any serious violation takes place. Camps & Academies staff commit to working collaboratively with Participants to rectify behavioural issues, and to make all attempts to ensure a safe and enjoyable experience for all. Repeat offenses and/or violations that breach our established Code of Conduct may result in expulsion from the program, the decision of which will be made by Camps & Academies Leadership. Removal from the program for behaviour which violates any section of the Code of Conduct will not be eligible for refund.
Honesty and Integrity
All Community Members are expected to conduct themselves in a manner that reflects honesty and integrity. To ensure a positive experience for every Participant, all communication within the Community, as well as information provided during the application process, must be truthful, complete, and up to date. This includes any relevant medical details, required inclusion support (as applicable), language abilities, home city and school, date of birth, skill-related capabilities (such as swimming), and any other information necessary for appropriate program planning and support.
If information is incomplete, inaccurate, or not updated if/when circumstances change, Appleby College Camps & Academies may be unable to provide the level of care or supervision required. In such situations, continued participation may not be possible. Families are responsible for informing the Camp/Academy Office in writing of any changes to a Participant’s information or needs as soon as they occur.
Additional Academic Code of Conduct & Expectations
Applicable to Enrichment, Credit and ESL Participants:
In addition to all points noted above, Participants in Academic programs are also required to adhere to the following rules:
- Participants are expected to demonstrate personal and academic integrity. Any Participant found engaging in any form of academic dishonesty or misconduct will be asked to leave the program.
- Instances of academic dishonesty include plagiarism, cheating or a demonstrable intention to cheat on examinations, tests or assignments.
- In all online programming, Participants are expected to participate via video and online learning platforms for the entirety of all classes.
- Credits for Academic courses will not be granted to Participants who have been expelled from their respective program.
- Self-Sign Out: Enrichment Participants not registered in Before & After Care are considered Self-Sign Out and are required to go to their classrooms on their own as well as leave class at the end of the day on their own. Summer Academic staff will be available to greet students at the front of the school on the first day of classes each week. All Credit and ESL Day students are considered Self-Sign Out.
- Attendance: Enrichment Participants are required to attend all days of programming in order to earn their certificates, which are valuable learning experiences that can be cited on academic and job applications. If a Participant will be absent, they/their parent(s) or guardian(s) must email academy@appleby.on.ca. in advance, or with as much notice as possible if ill.
- ESL and Credit Participants must be in attendance for the final days of assessment for the course in order to obtain the credit.
- Early pick-ups can only be accommodated prior to 2:00 p.m. and must be submitted by email in advance to academy@appleby.on.ca if attending Enrichment to camps@appleby.on.ca if attending Camp.
Additional Appleby Overnight Code of Conduct & Expectations
Applicable to Appleby Overnight Participants:
In addition to the points noted above, Participants in Appleby Overnight are also required to adhere to the following rules:
- Participants are not allowed to leave campus without permission from the program staff.
- The use of drugs, alcohol, and/or tobacco products is strictly prohibited. Any Participant found with any illegal substance or in the presence of or under the influence of any illegal substance will be sent home.
- Boarding rooms should be locked at all times and valuables secured away. Appleby College Camps & Academies cannot be held responsible for lost or stolen items.
- All Participants must be in their assigned rooms by designated curfew time, with noise kept to a minimum after this time.
- Participants of different genders are expected to stay in their respective areas of the boarding houses and restrict any in-house meetings to the boarding house common rooms or entrance lobbies.
- Participation in afternoon and evening activities is mandatory, unless otherwise determined by Camps & Academies Staff.
- All Participants agree to adhere to the Appleby Overnight Personal Device/Mobile Phone Policy as detailed below.
- For safety reasons, all Participants taking prescribed medication must indicate the type of medication required by way of completed medical forms submitted as part of the program application.
- In the event of a Participant’s removal from the program, the Participant's parents(s)/guardian(s) will be responsible for collecting the Participant within 1 hour of their removal.

PERSONAL DEVICE / CELL PHONE POLICY – DAY CAMP, ENRICHMENT, ESL DAY AND CREDIT PARTICIPANTS:
PERSONAL DEVICE / CELL PHONE POLICY – APPLEBY OVERNIGHT PARTICIPANTS: To promote physical and cognitive health and well-being, participants are encouraged to leave all personal devices at home. If a participant chooses to bring a device with them, the device will be collected by Appleby Overnight Staff to be kept in a secure location for the duration of their stay on campus.
We understand the importance of parents/legal guardians being able to communicate with their Participant(s) in case of emergency while they are away from home. If there is an emergency and immediate communication is required, parents / guardians will be provided the Emergency Only Duty Phone to be put in contact with their participant. For non-emergency situations, we ask that parents please refrain from calling the Boarding Duty Phone and allow Participants to disconnect during their time at Appleby Overnight to reconnect with themselves and peers. |

VACCINATION POLICY– DAY CAMP, APPLEBY OVERNIGHT, ENRICHMENT, ESL DAY AND CREDIT PARTICIPANTS: Appleby College Camps & Academies is committed to ensuring the health and well-being of campers, students & staff as our first priority. As such, it is important that all Participants and staff confirm the status of their vaccinations. In the event that Public Health declares an outbreak of any kind, families may be required to produce valid proof of vaccination. VACCINATION POLICY - SUMMER ENRICHMENT CAMP, CANADIAN EXPERIENCE CAMP AND ESL BOARDING PARTICIPANTS: All participants attending International Summer Boarding Programs at Appleby College are required to be fully vaccinated. During the registration process, individuals will be required to upload official immunization records (translated in English wherever possible) to their online profile. Once the participant’s application is complete and required documents are uploaded, our team will begin the application review process. Full series of the following immunizations are required in order to attend Appleby Summer Programs:
*If your participant has previously had chicken pox, this immunization is not required* Participants who have not yet received the full series of required vaccinations or are not vaccinated, will be required to obtain them prior to travel and provide official immunization records ahead of program start date. |
