Refund Policy

Withdrawal and Refund Policy
Day Camp, Enrichment, ESL Day, Academy Credit and Appleby Overnight 

Notice of Participant withdrawal must be made in writing to the Camps office if attending Camp (camps@Appleby.on.ca) or the Academic office if attending Enrichment or Credit programming (academy@appleby.on.ca)  

In a change from our previous policy, all registration cancellations are now subject to a $100 non-refundable deposit per week of programming, which will be retained from the total registration amount. This fee applies regardless of the date of cancellation. The remaining balance, if applicable, will be refunded according to our standard cancellation procedures.

Cancellations to Camp, Enrichment, ESL Day or Credit programs received after May 1, 2026 will not receive a refund. Exceptions to this policy are only given with proof of a medical emergency supported by certification from a legally qualified medical practitioner not related to the Participant, submitted to the appropriate office (Camps/Academy) by the final date of programming. Refunds will not be provided for inclement weather or for days of the program not attended. Changes to the program and/or program weeks must be requested a minimum of 30 days prior to the first day of the program and are accommodated pending availability.

Cancellations to Before & After Care can be made up until 2 weeks prior to the start of programming, i.e., Before & After Care for Week 4 may be made up until the Friday of Week 2, etc.

Appleby College Camps & Academies will do everything possible to avoid program cancellations, though we reserve the right to cancel a course due to unforeseen circumstances or if the minimum enrollment is not met. In either of these instances, we will accommodate Participants in an alternate program/alternate week or provide a full refund. Refunds will be made via the original payment method used. Note that the 2.4% processing fee originally charged cannot be refunded.

Cancellations for March Break Camp 2026 must be made in writing to the Camp Office no later than February 2, 2026.

 

WAITLIST POLICY
To help place as many campers into programs (and off of waitlists) as possible, we have a waitlist policy for both March Break and Summer Camp programming. When families are contacted by the Camp Office with news of an available spot in one of their waitlisted camps, they will have the choice to either accept or decline the offer, at which time all other spaces their camper is waitlisted for in that week will be released. Families will not have the option to decline one waitlisted spot, in the hope of getting into another camp. So please select your camps (and waitlists) carefully! Thank you for your cooperation in helping us get as many campers in their top choice of programs.

 

LATE PICK-UP POLICY: 

Campers who are not picked by the end of the regular pick-up window will be placed in our after-care program and charged the one-day fee.  We appreciate that extenuating circumstances can occur and ask that you call the Camps office as soon as possible to let us know. Campers must be picked up by 6 p.m. at the latest.  If later than 6 p.m. there will be a fee of $10 charged every 5 minutes past 6:00 p.m.


Withdrawal and Refund Policy:
Summer Enrichment Camp, Canadian Experience Camp, and ESL Boarding 

Notice of participant withdrawal must be made in writing to the Summer Boarding office at SummerBoarding@appleby.on.ca. Details and timelines are outlined below:  

  • Cancellations made on or before February 28, 2026, are eligible for a full refund less a $500 non-refundable administrative fee  

  • Cancellations received on or after March 1, 2026, and prior to May 1, 2026, will be eligible for a 50% refund less a $500 non-refundable administrative fee  

  • Cancellations received on or after May 1, 2026, are not eligible for a refund  

  • Exceptions to cancellation deadline: In case of visa denial (complete with proof, accepted at the discretion of Appleby College) or medical emergency, supported by certification from a legally qualified medical practitioner not related to the participant, a full refund will be issued, less a $500 non-refundable administrative fee. Notice must be made in writing to SummerBoarding@appleby.on.ca no fewer than 7 days prior to program start  

  • Custodianship notarization fees are non-refundable  

  • Program fees paid cannot be transferred to another individual  

  • Session/Program change requests are subject to a non-refundable $250 Program/Session Change Fee, as possible and applicable.
